Responsibilities

  • Keep President on schedule in multiple business priorities
  • Scheduling and coordinating calendar, creating priorities with the collaboration, and on behalf of the President
  • Everyday management of President’s tasks and follow ups, Inclusive of organizing data and emails
  • Screening and directing client calls from multiple areas with respect for business priorities
  • Organizes, oversees and arranges business travel requirements with detailed contingency, and in accordance with itinerary of existing commitments and appointments
  • Correspond with key stakeholders for internal and external needs, including customers
  • Be the liaison between President, staff and clients, assists in communications and overall messaging
  • Financial reporting, budgeting and reconciliation where needed
  • Secretary to meetings with the responsibility of minute-taking where needed
  • Gatekeeper of business and organization information
  • Accountable to uphold personal standards of appearance and demeanor, representing the organization and the President in a good light
  • Maintain office morale and oversee inventory of supplies in conjunction with annual budget allocations
  • Uphold collective office responsibility for maintaining a clean and professional appearance of general office area and shared spaces
  • Accountable for ensuring office space of the President is ready to accommodate guests, clients, customers and office staff. Oversees that office is presentable at all times
  • Assists President in team building activities as required
  • At-call tasks (e.g. lunch runs) as required

Required Skills

  • Fluent with Microsoft Office
  • Excellent communication skills, able to streamline communication from clients, staff and other stakeholders to President
  • Demonstrate credible, unbiased troubleshooting demeanor
  • Make informed decisions around priorities and time
  • Able to maintain a high level of integrity and discretion when dealing with confidential information
  • Self-starter that thrives on working independently
  • Ability to multitask and prioritize daily workload and be adaptable to constant fluctuation in priorities and projects
  • Take direction with ease, being flexible to present needs
  • Intuitive and creative to create new solutions from the ground up
  • Maintains a positive and upbeat attitude and inspires others to do the same

Preferred Skills

  • Financial Background is an asset
  • Banking Industry Experience is an asset
  • Experience with running Payroll is an asset
  • Adept at working phone, email, calendar systems

Experience and/or Education Qualifications We Like

  • Organizing events and meetings
  • Experience with C-suite level personnel
  • Previous experience with direct assistance and representation of C-level suite
